At ReNurture, your privacy is important to me. This Privacy Policy explains how I collect, use, store and protect your personal information when you visit the ReNurture website, make a purchase, book or attend an offering, complete a form, join the mailing list, create a customer account or subscription, or otherwise communicate with ReNurture.

ReNurture is responsible for deciding how your personal information is used for the purposes described in this policy.

1. Information I may collect

Depending on how you interact with ReNurture, I may collect information including:

  • your name;

  • email address and telephone number;

  • billing and delivery address;

  • booking, purchase and subscription information;

  • correspondence and enquiries you send to me;

  • preferences relating to communications and marketing;

  • information you provide through booking, registration, intake or feedback forms;

  • limited health or wellbeing information where necessary for the safe and appropriate delivery of certain offerings;

  • customer-account information where you choose to create an account or subscription; and

  • technical information relating to your use of the website, such as IP address, browser/device information and information collected through cookies and similar technologies.

I aim to collect only information that is reasonably necessary for the purpose for which it is being requested.

2. How I use your information

I may use your personal information to:

  • process and fulfil purchases and cacao subscriptions;

  • administer bookings and provide the experiences or services you have requested;

  • communicate with you about an order, booking, subscription, event or enquiry;

  • assess suitability for certain wellbeing offerings and support their safe delivery;

  • administer customer accounts where applicable;

  • maintain appropriate business, financial and transaction records;

  • respond to questions, requests or concerns;

  • operate, secure and improve the ReNurture website and services;

  • send marketing communications where I am permitted to do so; and

  • comply with applicable legal and regulatory obligations.

I do not sell your personal information.

3. Lawful bases for using your information

Under UK data protection law, I need a lawful basis for processing your personal information. Depending upon the circumstances, ReNurture may rely upon:

Contract: where processing is necessary to provide something you have purchased or booked, administer a subscription, or take steps at your request before providing a service.

Consent: where you have actively agreed to a particular use of your information, such as certain marketing communications or the processing of health information as described below.

Legitimate interests: where processing is reasonably necessary for the legitimate operation and improvement of ReNurture, provided those interests are not overridden by your rights and interests. This may include responding to enquiries, maintaining appropriate business records, preventing misuse or fraud, and understanding how the website and services are being used.

Legal obligation: where I need to process or retain information in order to comply with a legal requirement, including applicable tax and accounting requirements.

Where I rely upon consent, you can withdraw your consent at any time. This does not affect the lawfulness of processing carried out before you withdrew it.

4. Health and wellbeing information

For certain ReNurture sessions, events or experiences, I may ask you to provide limited health or wellbeing information where this is reasonably necessary to assess whether an offering is appropriate for you and to support its safe delivery.

Health information is special category personal data under UK GDPR and receives additional protection.

Where processing is necessary in connection with a service you have requested, I may rely on Article 6(1)(b) UK GDPR — performance of a contract or taking steps at your request before entering into a contract as the lawful basis for the associated processing.

For the processing of health information as special category data, I rely on your explicit consent under Article 9(2)(a) UK GDPR, where applicable.

The ICO confirms that special-category processing requires both an Article 6 lawful basis and a separate Article 9 condition. It also recognises that where special-category information is genuinely necessary to provide a service requested by an individual, contract may be an appropriate Article 6 basis while explicit consent may be used as the Article 9 condition. I aim to collect only health information that is relevant and reasonably necessary for the particular offering. Health information is not used for marketing purposes and access is limited appropriately. The ICO's guidance specifically requires organisations not to collect more health information than is needed for the stated purpose. ICO

Where processing relies on your explicit consent, you may withdraw that consent by contacting me. Withdrawal does not affect processing that lawfully took place before consent was withdrawn. Depending on the nature of the offering, withdrawing consent may mean that I can no longer safely provide a service for which that information is necessary.

5. Booking and form providers

ReNurture uses trusted third-party services to help administer bookings and collect information.

These currently include Acuity Scheduling, Jotform and Tally. Depending upon the particular booking or form you complete, information you submit may therefore be processed through one of these platforms on ReNurture's behalf.

This may include health information where a particular form asks relevant health or suitability questions.

These providers have their own security, privacy and data-processing practices.

6. Payments

Online payments are processed securely through Stripe.

When you make a payment, Stripe processes the payment information necessary to complete your transaction. ReNurture does not receive or store your full payment-card details.

I may retain transaction information such as your name, order, amount paid and payment status where necessary for order administration, customer service, accounting and legal obligations.

7. Squarespace, customer accounts and subscriptions

The ReNurture website is hosted using Squarespace, and Acuity Scheduling is used for certain bookings.

If you create a customer account or purchase a cacao subscription, information necessary to create and administer that account or subscription may be processed. This can include your name, email address, delivery information, order/subscription history and account preferences.

Authentication information such as passwords is handled through the platform providing the account functionality. ReNurture does not need access to your password in plain text.

8. Marketing communications

I may send you newsletters, event information, offers and other ReNurture marketing communications where you have given your consent to receive them.

Where the requirements of the UK's Privacy and Electronic Communications Regulations (PECR) are satisfied, I may also contact an existing customer about ReNurture's own similar products or services under the soft opt-in. This applies only in limited circumstances, including where your details were obtained directly in connection with a sale or negotiation for a sale and you were given a clear opportunity to opt out when your details were collected and in subsequent messages. You can unsubscribe from marketing emails at any time by using the unsubscribe link contained in an email or contacting me directly.

Choosing not to receive marketing does not prevent me from sending necessary communications relating to an order, booking, subscription or service you have requested.

Where consent is required for electronic marketing, I use an affirmative opt-in rather than assuming consent from silence or inactivity, in line with ICO guidance. ICO

9. Cookies and website information

The ReNurture website may use cookies and similar technologies necessary for the website to function and, subject to your cookie choices where required, to understand how visitors use the website and improve their experience.

When you visit the website, certain technical information may be processed automatically, including your IP address, browser type, device information and information about how you interact with the site.

Where consent is required for non-essential cookies, you can choose whether to accept them through the cookie controls provided on the website.

10. Who your information may be shared with

I may share personal information with trusted providers only where reasonably necessary to operate ReNurture or provide something you have requested.

These may include:

  • Squarespace and Acuity Scheduling;

  • Stripe;

  • Jotform;

  • Tally;

  • email and communication providers;

  • delivery or postal providers where necessary to fulfil an order;

  • professional advisers or service providers where necessary; and

  • regulators, courts, law enforcement or other authorities where disclosure is legally required.

I do not sell or rent your personal information to third parties.

11. International data transfers

Some of the technology providers used by ReNurture may process or store personal information outside the United Kingdom.

Where personal information is transferred internationally, I expect the relevant provider to use an appropriate mechanism recognised under UK data protection law, such as processing in a country covered by UK adequacy regulations or appropriate contractual safeguards.

Where applicable, further information about international transfers and safeguards can also be found in the privacy information supplied by the relevant service provider.

12. How long I keep your information

I keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, accounting, tax, safeguarding or business requirements.

Different types of information may therefore be kept for different periods.

For example, transaction and financial records may need to be retained to meet tax and accounting obligations, while information supplied solely for administering a particular booking or wellbeing offering will not be kept indefinitely where there is no continuing need for it.

Health information is treated with particular care and will not be retained for longer than reasonably necessary for the purpose for which it was collected.

Where you have a customer account or subscription, relevant information may be retained for as long as the account or subscription remains active and afterwards where reasonably necessary to meet legal or legitimate business requirements.

Where information is no longer required, I will take reasonable steps to securely delete or anonymise it.

This purpose-based approach is permitted by ICO guidance where there isn't one appropriate fixed retention period; the privacy notice should explain either the period or the criteria used to determine it. ICO

13. Children and young people

The ReNurture website, online shop and booking services are primarily intended for adults.

I do not knowingly invite children to independently create customer accounts, make online purchases or provide personal information through the website.

Where somebody under 18 wishes to attend an appropriate ReNurture event or offering, I ask that the booking is made by a parent, guardian or responsible adult, or that a responsible adult contacts me directly before booking.

Where it is necessary to collect information relating to a child or young person, I aim to collect only the information reasonably necessary for the relevant activity and handle it with appropriate care.

14. Keeping your information safe

I take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

I also aim to limit access to personal information to those providers or individuals who reasonably need it for the purposes described in this policy.

No method of electronic transmission or storage can be guaranteed to be completely secure, but I take reasonable steps appropriate to the nature of the information being processed.

15. Your data protection rights

Depending upon the circumstances and the lawful basis being relied upon, UK data protection law gives you a number of rights over your personal information.

These can include the right to:

  • request access to the personal information held about you;

  • ask for inaccurate or incomplete information to be corrected;

  • request deletion of your personal information in certain circumstances;

  • request restriction of processing in certain circumstances;

  • object to certain processing;

  • request data portability where applicable; and

  • withdraw consent at any time where processing is based upon consent.

You also have the right to object to processing based on legitimate interests in certain circumstances and the right to object to direct marketing at any time.

The exact rights available depend upon the circumstances and the lawful basis being used. ICO guidance specifically requires privacy notices to explain this rather than implying that every right applies to every type of processing. ICO
